Who This Policy Covers

This policy describes how Gruntled Leadership Assessments ("GL", "we", "our") collects, uses, and protects data when coaches, facilitators, and HR professionals ("you", "Customer") engage us to administer leadership assessments for their clients.

What Data We Collect

From Customers (Coaches/Facilitators/HR):

  • Contact information (name, email, company)
  • Billing information
  • Information about the leader being assessed (name, title, company, contact details)

From Assessment Participants:

  • Survey responses (scored items and open-ended feedback)
  • Relationship to the leader (manager, direct report, peer, self)
  • Contact information for survey delivery (email)

From the Leader Being Assessed:

  • Self-assessment survey responses
  • Contact information for report delivery

How We Use This Data

We use the data collected to:

  • Administer the assessment (send survey invitations, collect responses, generate reports)
  • Produce analysis and coaching materials based on survey responses
  • Deliver completed reports to you (the Customer who engaged our services)
  • Provide customer support
  • Improve our assessment tools and methodology
  • Build longitudinal data for leaders who complete multiple assessments over time

Who Can Access The Data

GL administrators only. We do not provide direct system access to customers, leaders, or raters.

Reports are delivered as PDF documents to the coach/facilitator who engaged our services. The coach/facilitator controls when and how the report is shared with the leader being assessed.

We do not sell, rent, or share assessment data with third parties except as required by law.

How We Protect Your Data

  • All data is stored on Supabase, a SOC 2 Type 2 compliant platform
  • Data is encrypted in transit and at rest
  • Access to assessment data is restricted to authorized GL administrators
  • Survey responses are collected via secure, one-time-use links

How Long We Keep Data

Active assessments: Data is retained throughout the assessment process and report delivery.

Completed assessments: We retain assessment data to support longitudinal tracking (comparing results over time if a leader completes multiple assessments). This allows us to show development progress when leaders re-assess in the future.

Baseline and comparative data: Aggregated, anonymized data may be used to build industry and role benchmarks.

Your Rights

Customers (coaches/facilitators) can:

  • Request deletion of assessment data for a specific leader at any time
  • Request a copy of all data associated with a project
  • Update contact or billing information

Leaders being assessed can:

  • Request deletion of their assessment data by contacting the coach/facilitator who engaged our services or by contacting us directly
  • Request a copy of their assessment data

Survey respondents (raters) can:

  • Request confirmation of whether we have processed their survey responses
  • Request deletion of their responses (note: this may make the assessment results incomplete or unusable)

Data Deletion

If you request deletion of assessment data:

  • We will permanently delete all personally identifiable information associated with that assessment
  • Survey responses, scores, and report content will be removed from our systems
  • We cannot recover deleted data
  • If longitudinal tracking was planned, deletion of baseline data will prevent future comparison

Changes to This Policy

We may update this policy periodically. If we make material changes, we will notify active customers via email. Continued use of our services after changes constitutes acceptance of the updated policy.
